Free Receipt Template

Fill in this free receipt template to confirm a payment you've received: who paid, what for, the amount, the date and the payment method. Add your logo, then print it or save it as a PDF. A receipt is proof of payment, so issue it after the customer pays, not before.

A receipt is proof that a payment has been received; it is issued after the buyer pays, whereas an invoice is issued before payment to request it. Need to request payment instead? Use the invoice template.

How to fill in your receipt

  1. Add your business. Type your business name and address under From and upload a logo if you have one. It stays on this device.
  2. Add who paid. Put the customer's name and contact details under Received from.
  3. Set the receipt number and date paid. Give the receipt its own number (the sample uses R-1001), set Date paid, and add the invoice number it settles under For invoice # if there was one.
  4. List what was paid for. Add one line per product or service with a quantity and price, plus any tax, so the total matches what the customer paid for.
  5. Record the payment and print. Pick the Payment method, enter the Amount paid and check Balance remaining. The receipt says Paid in full or Partial payment received, and the PAID stamp only shows when nothing is left to pay. Then click Print / Save PDF.

When to use a receipt

Cash sale

Choose Cash as the payment method and enter the amount received. Print two copies: one for the customer, one for you.

Deposit or part payment

Enter the amount received. Balance remaining shows what is still owed, the receipt says Partial payment received, and the PAID stamp stays off until the balance is cleared.

Rent

List the rental period as the line item, such as “Rent, 1–31 October 2026”. Rent receipt rules differ by state and country, so check what yours must show.

Services

Freelancers and tradespeople can confirm a paid invoice with a receipt that quotes the invoice number.

General information only, not tax, legal or accounting advice. Invoice and tax rules differ by country, state and industry, so check with your local tax authority or an accountant for your situation.

Receipt template FAQ

What should a receipt include?

A receipt should show the seller's name and contact details, a receipt number, the date of payment, who paid, a description of the goods or services, the amount paid, the payment method and any tax included. If it is a part payment, also show the balance still owed so both sides have a clear record.

Is a receipt the same as an invoice?

No. An invoice is sent before payment to ask the customer to pay. A receipt is issued after payment to confirm the money was received. Many small businesses send both: the invoice first, then a receipt marked paid with the same reference number once the customer has paid.

Can I make a cash receipt with this template?

Yes. Choose Cash as the payment method, enter the amount received and the date, and add a short description of what was bought. Print two copies if you want one for the customer and one for your records, or save a PDF and email it.

Do I need a receipt number?

It is good practice. A unique, sequential receipt number such as R-1001 makes payments easy to find, match to invoices and check at tax time. Use a separate sequence from your invoice numbers, or reuse the invoice number with an R prefix so the two documents link.
