What is a quote?

A quote (or quotation) offers a price for a defined piece of work or set of goods, usually valid until a stated date. The customer can accept it or turn it down. Once accepted, it records what you agreed, and you send an invoice when the work is done. If the buyer needs an invoice-style document to pay in advance or for customs before you ship, send a proforma invoice instead.

How to fill in your quote

  1. Check the document type. This page starts on Quote, so the heading reads QUOTE, the number label reads Quote # and the total reads Quote total.
  2. Add both parties. Put your business under From and the customer under Bill to. Use Ship to only if the goods or work go to another address.
  3. Number and date the quote. Give it its own number and date, and set Valid until so the customer knows how long the price holds.
  4. Describe the work line by line. One line per task, material or product, with a quantity and price. Amounts and the subtotal update as you type.
  5. Add tax, any discount and the terms. Tax is worked out on the subtotal after the discount. In Notes, say what is included and what is not, any deposit, and how to accept the quote.
  6. Print or save a PDF. Click Print / Save PDF and choose Save as PDF, then send it to the customer.

What to put on a quote

After the customer accepts

Keep the accepted quote with your records. When the work is done, set Document type to Invoice here or copy the agreed lines into the invoice template, give the invoice its own number (see invoice numbering) and add payment terms. If you took a deposit, show it so the balance due is clear.

Quote template FAQ

Is this quote template free?

Yes. Write, print and download as many quotes as you like without an account or a fee. The QUO- numbering, valid-until date and saved drafts all work without paying, and drafts stay on this device.

What should a quote include?

Your business and the customer's details, a quote number and date, a clear description of each item of work or goods with quantity and price, any tax, the total, how long the price is valid and anything not included. Saying how the customer can accept, such as by signing or replying by email, avoids confusion.

What is the difference between a quote and an estimate?

A quote usually offers a set price for an agreed scope, valid until a stated date. An estimate is an approximate price that can change as the job becomes clearer. People use the words loosely, so say on the document which one it is and what could change the price.

How long should a quote be valid?

There is no single rule. Pick a period that matches how quickly your costs change, such as 14 or 30 days, and enter it as the Valid until date. This template fills in 15 days from today, and you can change it.

Can I turn an accepted quote into an invoice?

Yes. The customer accepted a fixed price, so bill the quoted lines unchanged unless the scope changed in writing. Put the quote number (for example QUO-1001) in the PO number field as a reference, take off any deposit already paid and show it in Notes, and give the invoice its own invoice number. Use the Document type menu to relabel this page as an invoice, or start from the invoice template with the same lines.
