Why invoice numbers matter
An invoice number is the reference you and your client use to talk about a bill, match a payment to it and find it later. A clear, unique number makes it easier to see which invoices are paid, chase late ones and keep tidy records.
Common invoice numbering formats
| Format | Example | Good for |
|---|---|---|
| Simple sequence | INV-1001, INV-1002 | Most freelancers and small businesses |
| Year + sequence | 2026-001, 2026-002 | Seeing at a glance which year an invoice belongs to |
| Client code + sequence | ACME-001, ACME-002 | A few regular clients you bill often |
| Project code + sequence | P42-01, P42-02 | Billing one long project in stages |
Good numbering habits
- Use each number once. Never give two invoices the same number.
- Keep it in order. Go up by one each time, so it is easy to spot a missing invoice.
- Pick one format and stick to it. Changing formats part-way makes records harder to follow.
- Pad with zeros if you like. 0001 instead of 1 keeps numbers the same length and sorts neatly.
- Correct, do not reuse. If an invoice was wrong, issue a correction or credit note that refers to the original.
- Keep a list. A simple log of number, client, date, amount and paid date helps at tax time. Export CSV in the template gives you a spreadsheet copy of each invoice.
Some tax authorities have specific rules about invoice numbers, for example that they must be unique or follow a sequence. Check the rules where you do business.
How numbering works in this template
Type any number in the Invoice # box. When you click + New draft, the template looks at the numbers saved in this browser and suggests the next one, keeping your prefix (INV-1002 after INV-1001). Drafts are stored only on this device, so keep your own list if you invoice from several devices.

FAQ
What number should my first invoice be?
Any number you like, as long as you keep the sequence going from there. Many people start at 1001 or 0001 so the numbers keep the same length for a while.
Can two invoices have the same number?
Avoid it. Each invoice should have its own number so you, your client and your records can tell them apart. If you invoice under more than one business, keep a separate sequence for each.
What if I make a mistake on an invoice that has been sent?
A common practice is not to reuse or silently change the number. Instead, issue a corrected invoice or a credit note that refers to the original number. Ask your accountant how this should be handled where you are.
Does this template number invoices for me?
Yes. When you start a new draft, it suggests the next number after the highest one saved in this browser. You can type over it at any time.
