What is an estimate or a quote?

An estimate is an approximate price for a job, based on what you know before you start. A quote (or quotation) is usually a firmer price for a clearly defined piece of work, often with a date until which the price holds. Both come before the work; the invoice comes after, when you ask to be paid.

How to fill in your estimate or quote

  1. Choose the document type. Pick Estimate or Quote under Document type. The heading, the number label and the total label change to match.
  2. Add both parties. Put your business under From and the client under Bill to. Use Ship to only if the work or goods go to another address.
  3. Set the number and dates. Give the document its own number and date, and set Valid until so the client knows how long the price holds.
  4. List the work. Add one line per task, material or product, with a quantity and rate. Amounts and the subtotal update as you type.
  5. Add tax and any discount. Tax is worked out on the subtotal after the discount.
  6. Spell out the terms. In Notes, say what is included and what is not, any assumptions (materials, access, start date) and what could change the price.
  7. Print or save a PDF. Click Print / Save PDF and choose Save as PDF or a printer. Export CSV gives you a spreadsheet copy.

What to put on an estimate or quote

From estimate to invoice

When the client says yes, keep the agreed lines and bill them on the invoice template, or set Document type to Invoice here to relabel the same document. Give the invoice its own number (see invoice numbering) and add payment terms so the client knows when to pay.

Estimate and quote FAQ

Is this estimate and quote template free?

Yes. There is no signup and no fee. Fill it in, then print it or save it as a PDF in your browser.

What is the difference between an estimate and a quote?

An estimate is an approximate price that may change as the job becomes clearer. A quote is usually a fixed price for an agreed scope, valid until a set date. People use the words loosely, so say on the document which one it is and what could change the price.

Is an estimate or quote legally binding?

It depends on where you are, the wording you use and what the client agreed to. This template does not make a document binding or non-binding. If it matters for your job, get local legal advice.

How long should a quote be valid?

There is no single rule. Pick a period that suits how quickly your costs change and enter it as the Valid until date. The template fills in 15 days from today, and you can change it.

Can I turn an estimate into an invoice?

Yes. Set Document type to Invoice to relabel this document, or open the invoice template and enter the agreed lines there. Drafts on the two pages are saved separately in this browser.

How is tax worked out?

Enter a tax percentage and any discount as an amount. Tax is worked out on the subtotal after the discount, so the total is subtotal minus discount plus tax.

Where are my drafts saved?

Up to 3 drafts stay in this browser's localStorage on this device. Nothing is uploaded to a server. Use Export CSV if you want a spreadsheet copy.
